26.1. Reports

Arctic has a myriad of options to help you create the reports you need. All of the various report options can be found on the "Browse Reports" page. To get to the "Browse Reports" page, go to the "Reports" menu and choose "Manage". 

Once you are on the "Browse Reports" page you will notice that it is broken down into several categories all accessed via their own tabs. 

Formatted Lists

The first tab is the "Formatted Lists" tab. Formatted lists allow you to assemble common data into an Excel-like format along with basic formatting to quickly print or send. These reports are most frequently used for creating rosters, schedules and permit summaries. A drag and drop editor allows you to determine what data gets placed where in the final document. 

On this tab you have several types of reports you can create.

1. Add-on Roster - Is the report to use to get a roster for the all of the trip add-ons and the specific guests they are associated with. This report is run from the "View Trip" page as shown here:

2. Guide Schedule (Individual) - Is the report to be able to print a specific guide's schedule for a given set of dates. You will run this report from the "Formatted Lists" tab of the "Browse Reports" page by clicking the icon above the name given to the report or by clicking the name itself as shown here:

You can also run the guide schedule page directly from a guide's "View Person" page.

3. Guide Summary - Is the report to be able to print a summary of every trip and the guides that are scheduled on that trip. You will also run this report from the "Formatted Lists" tab of the "Browse Reports" page by clicking the icon above the name of the report or the name of the report itself.

4. Item Utilization - Is the report to use to get a list of all of the dates and activities for which a particular rental item is being used and allocated. This report will give you the name of the customer using the item, the duration the item will be used and whether the item is being used as an "Add-on" or is being directly rented by the guest. To run this report, you go to the "View Item" page for the specific rental item you want to know about as shown here:

5. Trip Roster - Is the report to use for a roster or manifest for an individual trip. This report is also run from the "View Trip" page.

6. Trip Summary - Is the report to use to get a summary of all of trips over a specific date range including guest counts, dates etc. This report is run from the "Formatted Lists" tab of the "Browse Reports" page by clicking the icon above the name given to the report or by clicking the name itself. 

Trip Summary Reports can also be run from the "Browse Trips" page by clicking the "Reports" button as shown here:

Note: When running "Trip Summary" reports from the "Browse Trips" page, if the "Trip Summary" was formatted without "Conditions" for the report, Arctic will just apply the report layout to all of the results shown on the "Browse Trips" page. This can be handy because you can use the "Filters" on the "Browse Trips" page to return the results you want then have them formatted into a summary report. If the "Trip Summary" was formatted with "Conditions", Arctic will filter the trips on the "Browse Trips" page for the conditions set on the "Trip Summary" report you selected and then format the results into the summary report. For more information on using the filters on the "Browse Trips" page see the "Using Filters on the "Browse" pages" section of this chapter. 

7. Rental Summary - Is the report to use to get a summary of all of your rentals during a specific date range including start and end dates and the items rented. This report is also run from the "Formatted Lists" tab of the "Browse Reports" page by clicking the icon above the name given to the report or by clicking the name itself.

To create a new formatted list, go to any section heading of the type of report you wish to create and click the "Create" icon. 

This will open the Report Editor and you will be able to create the report to your specifications. All of these reports can be used straight "out of the box"; meaning, if you choose a report type, then give it a name and scroll to the bottom of the page and click "Submit", you will have a basic report you can use immediately. All of these reports also have the ability to be customized to provide the specific data you are looking for. For more information see the "Using the Report Editor" section of this chapter. 

To edit a report that you have created click the "Edit" icon next to the report's name. This will open the Report Editor so you can make your alterations. 

To delete a report that you have created click the "x" next to the report's name as shown above. 

Filter

The filter tab is where you can create filters on the various "Browse" pages in the left hand menu as well as several additional pages that are located on this tab. The Filters on the "Browse" pages are an extremely powerful reporting tool. You can filter the data to only show you records that meet certain conditions and you can customize the view to show just the desired data and then export the final results. See the "Using Filters on the "Browse" pages" section of this chapter for more information on how to create this type of report. Also see the "Sample Filters" section for examples of the types of reports that can be created using Filters.

Any filters that you save will appear on the filter tab next to the "Browse" page used to create them. To run saved filters or to load a "Browse" page found on the filter tab, click the icon above the name of the page or filter or click the name itself. 

To remove a saved filter click the "x" icon next to the the filter's name as shown above. 

Financial

The financial tab is where you can access the two main financial reports in Arctic, the Financial Summary and End of Day Balance Report. The End of Day Balance Report will provide the total amount of money brought in on a given day broken down by invoice and account. The Financial Summary can be run in several different ways all designed to give you accurate financial information that can be broken down by account or invoice and grouped by date. To run the financial reports, click the icon above the name of the report or click the name itself.

Pivot Tables

The pivot table tab is where you can create specific vignettes of information from invoice items to online booking information to inventory reports. These reports can be built to summarize information regarding specific facets of your business, such as allowing complex analysis of system data for marketing purposes. You can breakdown data by referral source, date, business group and many other factors to gain key insights into your business. You can use the built in pivot tables, or add custom pivot tables. 

On this tab, you can run built in pivot tables or add custom pivot tables for Invoice Items, Invoices, Rental Included Items, Reservation Guests, Reservations, Retail Inventory, Retail Transactions, Transactions, and Trips.

To run pivot tables, click the icon above the name of the pivot table or click the name itself. 

To create a new pivot table, go to any section heading of the type of report you wish to create and click the "Create" icon. For more information on creating pivot tables see the "Creating Pivot Tables" section of this chapter. 

To remove a pivot table you have created click the "x" next to the table's name. Note: you can only remove pivot tables that you have created. 

Other

The other tab is where you will find other built-in reports within Arctic. This tab currently only houses the "Guide Schedule (All)". This report will show you a summary of all of your guides and the dates they are scheduled and looks like this:

To run this report click the icon above the report's name or the name itself.
