28.6. Creating Booking Agent Activities Via the Backend

Booking agent reservations or rentals can be made easily via the backend by your reservationists or directly through your guest facing site by the agents themselves. In all cases, the agent's commissions will be handled based on the settings shown for their agent record. In this section, we will discuss how to create booking agent reservations or rentals via the backend. 

To create a booking agent reservation or rental via the backend, you can go to the agent's "View Person" page and click either the green "+ Add Reservation" button or the green "+ Add Rental" button as shown here:

When you create a booking agent reservation or rental using this method, Arctic will pre-fill the agent's information on the "Create Reservation/Rental" page in the "Booking Agent" section of the form. It will also, if the agent is set as the "Who Pays", put the agent's name in the "Bill To" field of the form. This is illustrated in the following images. 

Notice, in the first image, Snow White is pre-filled as the "Booking Agent" and since the "Who Pays" for her record is set to the customer, the "Bill To" field is left blank. In the second image, because the "Who Pays" for Reservations R Us is set to be the agent, the agent's name is pre-filled in both the "Booking Agent" field and the "Bill To" field. 

At this point, you are ready to complete the reservation/rental as you would for any standard guest. You will enter the customer information and choose their trip or rental items and when the form is complete, you will hit "Submit" to create the booking. 

Alternately, you can go directly to the "Create Reservation" or "Create Rental" page and enter the agent information in the "Booking Agent" section of the form. You can do this either first or during the process of creating the reservation. If you do it first, Arctic will adjust the "Bill To" category, if necessary, to add the agent information if the agent is set as the "Who Pays". If you wait to enter the booking agent until you have entered all of the customer and trip/rental information, Arctic will alter the "Bill To" to be the agent selected if the "Who Pays" on the agent's record is set to agent.

As you can see creating booking agent reservations or rentals is pretty straightforward. After the booking is created, the reservation or rental will be listed on the "Activities" tab of the customer record of the guest and also on the "Bookings" tab of the agent's record.
