10.3. Using the Activity Log
Activity Log
The activity log is one of the most useful features of the dashboard.
The activity log widget is a list of the most recent events in Arctic, and as well as some events that may require your attention. The widget on the home page will show a limited number of entries. If you want to go back further, click the "Log" at the top of the widget to be taken to the "Browse Activity Log" page which keeps a record of the past 200 log events.
First, the activity log will alert you to things that need attention. These are events that you may need to know about or need to act on. For example, may alert you to an email that could not be delivered, so that you may reach out to the guest and correct the email address.
Similarly, it will remind you when a group hold is about to expire so that you can contact the group leader and make sure they know that their held trip spaces are about to be released.
The activity log will also keep you informed that your guests have completed the forms necessary for their trip.
There is also a red button on the navigation bar throughout Arctic that alerts you if there are any activity log entries that are requiring attention. While you are using the site, Arctic will regularly check to see if there are new activity log entries that require attention and add or update the red button as needed, so you do not have to keep checking the activity log widget to see if there is anything requiring attention. Click the red button when it is present, and it will take you directly to the activity log widget.
When you have seen and have acted on a “Requiring Attention” entry, simply click the check mark to acknowledge it. The next time you return to the dashboard, the item will no longer appear in the “Requiring Attention” section of the activity log.
The red button on the navigation bar will also disappear when the entries requiring attention have been checked off.
The second function of the activity log is to track all of the activity on your installation. If a change is made by you or another reservationist or by a guest on your guest-facing site, it is logged in the activity log. The date, time and the details of who did what for whom on which activity number and on what trip, or rental, or invoice are all recorded in the activity log.
This is an extremely useful feature for helping to track has happened. It will ensure that everyone in the office knows important changes and activity, it will enable greater accountability in the case of a mistake and it provides transparency for what is happening in the office at any given moment.
In addition to this, on the details pages for reservations, rentals, customers, and invoices, there is an activity log of all log entries associated with that particular entry. This is extremely useful for seeing relevant history related to a specific individual or activity or invoice.
The activity log is a great source of information when it comes to knowing the who, what, and when of each action that was made to a reservation, rental, inquiry or invoice within your installation. This will help you keep up with which staff members may need a bit of additional training to ensure they are doing things properly and it will also help you stay on top of the things your guests are doing through their guest accounts.
