26.5. Creating Pivot Tables

There are several pivot table reports you can create. This chapter will give you a basic idea of how to create a pivot table. To create a new pivot table, go to the "Pivot Table" tab of the "Browse Reports" page and choose "Create" in the section for the type of report you would like to create. For this example, we will create an "Invoice" pivot table. 

Once you click the "Create" icon, Arctic will open the pivot table configuration tool. Here you will enter a name for the table, choose what data you would like to aggregate, the columns and rows you would like to see as well as any conditions you want the information displayed to meet. For this example we will create an "Invoice" pivot table that will give us monthly sales by business group. 

First, we need to give our pivot table a name.

Next, we tell Arctic what data we want to aggregate on the table. For each type of pivot table you will have several different options to choose from. For this table, choose "Invoice > Total Cost > Total". This tells Arctic that we want to summarize the total invoice cost. We can use this to get sales information, as Arctic will add together the cost of each invoice issued.

Next, we choose the column divisions we want Arctic to display. For the purpose of our example, click the green "+ Add Group By" button in the "Group columns by" field and choose "Business Group". This will cause each business group to receive a column in the report, which will break out the total invoice cost for that specific business group.

Now we need to select how we would like the rows of our table to be grouped. For our example, we want to know the sales of each day of the month. Since we want "sales" data, we want to break down the rows based on the "Creation Date" of the invoices as this is the date the items were sold. To set this up click the green "+ Add Group By" button in the "Group Rows By" field and choose "Created On" then "Date" as shown below.

Next, we want to add a condition to our table to help refine the data shown. For example, we could lmit our report to only show sales for invoices where we have received a payment. To set this up, click the green "+ Add Conditions" button and choose "Transaction Total Paid" as shown here:

Then set the condition to be "Transaction Total (Paid) is greater than or equal to 1.00".

This will ensure that Arctic only aggregates invoices for our sales table that have received at least 1.00 in payment.

Our pivot table is now complete. To save it, click "Submit".

To run the Pivot Table report, go to the "Pivot Table" tab of the "Browse Reports" page and click either the icon above the name of the pivot table you created or the name of the table itself. Then enter the date range for which you wish to run the report.

 

Editing Pivot Tables:

To edit an existing pivot table, go to the "Pivot Table" tab of the "Browse Reports" page. Click the "Edit" icon next to the name of the pivot table report that you need to edit. 

Deleting Pivot Tables:

To remove a pivot table report, go to the "Pivot Table" tab of the "Browse Reports" page and click the "x" next to the name of the pivot table report you want to delete. 

Note: you will only be able to remove pivot tables that you have created. You will not be able to remove the built-in pivot tables.
