16.2. Holding an Activity

To place a hold on an activity, you do so by going to either the "Create Reservation" or "Create Rental" page for a new activity, or the "Update Reservation" or "Update Rental" page to modify an existing activity. Once on any of these pages, you will scroll to the "Hold" section of the page and click "Hold" to open the hold settings. 

When the "Hold" section opens, Arctic will have it prefilled based on the default settings you entered on the "Configure" page. In this case, since the default behavior was set to be "Off by default", Arctic shows the hold field populated with "Never, this is a confirmed reservation". 

No matter, how Arctic was configured to behave by default, you can alter the hold settings per activity by selecting the option you want to use. You can choose either "Never, this is a confirmed reservation", "Hold til deposit due date" or "Hold til a specified date". 

If you choose "Never, this is a confirmed reservation", Arctic will treat the reservation or rental like a normal transaction and the spaces or inventory will be assigned to the guests permanently or until the activity is canceled.

If you choose "Hold until deposit due date", Arctic will hold the spaces or inventory for the guests until either a payment has been received or until the deposit due date. If the guest has not paid a payment by the deposit due date, Arctic will release the hold and their activity will be canceled. Note: Arctic will not cancel a held reservation if any payment has been made towards the invoice even if the amount paid does not fully meet the deposit amount due. Arctic will consider any held reservation with any payment on the invoice as a confirmed reservation as soon as the payment is applied to the invoice. 

If you choose "Hold until a specified date", Arctic will hold the spaces or inventory for the guests until either a payment is received, the hold is changed to be "Never, this is a confirmed reservation", or until the date the hold expires. If the activity has neither been confirmed nor a payment received by the date specified, Arctic will release the hold and their activity will be canceled. 

When selecting "Hold until a specified date", if you entered a "Default Duration" on the "Configure" page, Arctic will select a date that matches the duration you entered. For instance, if you set 7 days for the "Default Duration" and today's date is 1/19/2015, Arctic will enter a date 7 days from today which will be 1/26/2015.

If you did not set a "Default Duration," Arctic will enter today's date. Whether you set a default duration or not, you will be able to alter the date to be anything you want it to be. 

Once you have entered the hold settings you want for your activity, scroll down to the bottom of the page and click "Submit" to save the reservation or rental as a Hold. 

On the "View Reservation" or "View Rental" page, Arctic will display the hold expiration date as shown here:

To confirm a held activity, you can either process a payment on the invoice for the amount currently due according to the payment plan or manually edit the Activity and change the hold settings to "Never, this is a confirmed reservation."

Arctic will consider the activity as confirmed as soon as any payment has been received on the invoice.
