6.2. Creating an Online Waiver

Before setting up an online waiver in Arctic, you should look over the "Paper Instructions". It is required that guests be offered a way to submit a signed paper waiver as an alternative to signing a digital waiver. Arctic automatically creates a standard statement telling guests how to return a paper waiver if they opt to sign a paper waiver. To check the standard instructions and make any modifications to it that you require, go to the "Settings" page under "Online Waivers" and click the "Pencil" icon next to "Paper Waiver Instructions" as shown here:

On the "Configure Paper Instructions" page, you can modify the text by typing in the "Paper Instructions" box. 

Once you have modified the instructions to your liking, click "Save Setting" to save your changes. Now, that the "Paper Instructions" are in place, you are ready to setup your online waivers. You can create as many waivers as you need for different trips or jurisdictions. This can be especially helpful if the waiver you use for your multi-day trips is different than the waiver used for your day trips which is different than the one you use for your rental items. Once each waiver is created it can be assigned to the appropriate trip type, trip and rental item. For more information on assigning waivers to their appropriate trip types, trips and rental items, see the "Assigning Waivers to Trip Types, Trips & Rental Items" section of this chapter. 

To create an online waiver in Arctic, go to the "Settings" page under "Online Waivers" and click the "Pencil" icon next to "Manage Waivers".

This will take you to the "Browse Waivers" page, click the green "+ Create Waiver" button to open the form for creating the waiver. The form is fairly simple, essentially you will give the waiver a name and a title and then copy the text from your existing waiver into the "Body" section.

Note: The "Name" of the waiver will never be seen by guests, it is only a way to help you differentiate between the various waivers you may create within the system. The "Title" will be what the guests see at the top of the waiver. 

There are instructions on the "Create Waiver" page that explain adding the signature box and initial boxes if you have sections of the waiver that need to also be initialed by the guest. If you do not add any signature boxes, Arctic will automatically place one at the very bottom of the waiver.

For additional formatting like how to bold text or make bullet points, you can use the same markdown codes used in the email templates. For more information on formatting, see the SmartContent Syntax section of the email chapter. 


Note: Guests will not be able to provide any additional details on the waivers such as contact information. Arctic will automatically fill in their name if it has already been provided on the registration forms or via the backend. If their name has not been entered, the guest will be able to enter their own name and the guest will be able to initial and/or sign in any of the areas designated. Since Arctic links the waiver with the guest's record, if you are collecting contact information for the guests as part of the booking/registration process this information will be easily available when looking up waivers and guest information in the future.

Since paper waiver options must be offered to your guests, Arctic is set up so that it can generate a PDF version of the waiver content that you enter for the Online Waiver. However, Arctic also offers you a way to upload a PDF version of the waiver as well, if you prefer to control the look and feel of the waiver rather than using the Arctic generated version for the guests who opt to return a paper waiver. To upload your own PDF version of the waiver to be used for guests who opt to return a paper waiver, click the "Upload File" button in the "Paper Version" field and then choose the file you wish to use.


Once you have completed the "Create Waiver" page, scroll to the bottom of the page and click "Submit" to save the waiver to your system.
