19.2. Sample Filter: Exporting Email Addresses

To export a list of your existing Arctic guests who are subscribed to your email list, you can use the following filter. When setting up the email list integration feature, you will want to run the filter for all of the guests who are subscribed to your list as shown in the "General Subscribed Email List" section below. However, if you want to target only certain guests for a specific email marketing campaign, you can run even more refined filters as shown in the "Specific Target Lists" section.

General subscribed email list:

The steps below describe how to use the "Filter" tool in Arctic to export a list of all of the guests subscribed to your Email List and export their contact details from Arctic:

1. Since we want to extract information about customers, we will use the "Filter" tool on the "Browse People"page. To get to the "Browse People" page, go to the "People" menu and choose "Browse". 

2. At the top of the "Browse" page, click the "Filter" button to bring up the filter editor.

3. To export a list of all of your subscribed email list guests, use the following filter. This will ensure that the results shown are only those guests who have opted to receive marketing emails.

Specific Target Lists:

The above filter will ensure that Arctic just returns email addresses for guests who have an email address and who have agreed to receive email marketing. But you can couple the filter above with additional filters to further narrow down the results for a more targeted mailing. For example:

Example 1: Targeting recent guests

You can add a filter to only return those people who have been a guest on a reservation during a specific date range, helping target your emailing to recent customers.

Example 2: Targeting group leaders

Filters can also be added to only return those individuals who have brought large groups, if you want to advertise a group promotion.

4. Now that you have configured the filter to only return those guests you want, the next step is to customize the "View" to tell Arctic that you need just the name and email address for the selected guests. Configure the view as follow:

5. You can optionally check the box at the bottom to save the filter for easy access in the future, then hit "Submit" to run your filter.

6. A list of customers and their email addresses should appear below. Glance through the list to make sure it looks right. To actually export it, use the "Export" button at the top of the page. If you want to use the list directly, select Excel. Or if you are going to import the list directly into a service like Constant Contact or Mailchimp, select "CSV".

Done! You should now have a file with customer email addresses that you can easily use to start syncing your email lists between your email marketing provider and Arctic or to do a targeted communication to just a select portion of your subscribed email list guests.
