28.7. Creating Booking Agent Activities through the Guest-Facing Site
Agents can create reservations or rentals directly through your guest-facing site. In order to do so, you must send them the "Booking Agent Registration" email template. You will find this template on the "Email Templates" page along with a button that will allow you to view the default content that will be used if you choose not to create an email template of your own. To send the booking agent registration email to your agents, go to the "View Person" page for the agent and click the "Email Agent Invite" button shown here:
When the agent receives their invitation, they will be able to create a password that they will enter on the check out page of your guest facing site to receive credit for their bookings. When they are logged in, any bookings they create will be credited to their booking agent account. Any agent can use the guest facing site to make bookings. The agents for whom the "Who Pays" is set to customer will simply enter their guest's payment details instead of their own on the check out page.
The agent can log in either before entering their guest's details or after but they must log in before they hit submit in order to be properly credited with the booking and also in order to receive their commission discount if their "Who Pays" is set as agent.
On the check out page, the agent will enter their guest's information in the "New Guest" section of the page and they will enter their login information in the "Returning Guest" section of the page.
Once the agent is logged in Arctic will access their specific settings and manage the booking accordingly. After the payment details have been entered and selected and the terms and conditions have been agreed to, the agent will be able to submit their booking just as with your normal guests. The only difference will be if the agent has their "Who Pays" set to customer, they will enter their guest's payment information whereas if the "Who Pays" is set to agent, they will enter their own payment information.
Note: The agent can only make bookings for one guest at a time. They cannot, for instance, make two zipline reservations for two different guests in the same transaction. However, if their guest wants to do multiple activities, they can put all of that same guest's activities on the same transaction.
In the next section, referral links are discussed in detail as an alternate method for allowing agent guests to make online bookings while still ensuring the agents receive credit for those bookings.
