28.13. Example Filter: Which Agents Earned Commissions
Commission reports in Arctic must be run per individual booking agent. If you have multiple agents, it can be challenging to know for whom to run commission reports since not all agents will necessarily owe balances or be due commission payments in every commission cycle.
To quickly ascertain which agents have balances owed or commissions due during the current commission cycle, you can use the following filters on the "Browse Reservations" or the "Browse Rentals" page. You must use the "Browse Reservations" or the "Browse Rentals" page because they are the only pages from where you can search for booking agent related activities. If your agents do not book rentals with you and only book reservations, then you can run the filters only on the "Browse Reservations" page or vice versa. However, if your agents book both reservations and rentals, you will have to run the filter report on both the "Browse Reservations" and the "Browse Rentals" pages to be sure you have a complete list of the agents for whom you need to run commission reports. (For more detailed information on using filters to run reports, see the "Using Filters on the "Browse" pages" section in the "Reports" chapter of the support documentation.)
Depending on your preferred commission calculation method, you will use one of the following three filters. Remember the filters shown can be run on both the "Browse Rentals" and the "Browse Reservations" page.
Commissions Calculated Based on Sales
If you calculate commissions based on sales, you will use these filters:
Notice that the date filters used for this report are the "Activity ≫ Created On ≫ Date" filters. For Arctic, the sales date is the date an activity is created so this will accurately report any agents who have sold bookings with you during the commission cycle specified.
Also notice, in order to return all reservations for any booking agent, you will use the "IS NOT None" options for the "Activity ≫ Booking Agent" filter.
These filters will return any booking agent activity that was sold during the commission cycle specified.
Commissions Calculated Based on Payments
If you calculate commissions based on payments, you should use these filters:
Notice this time for the date filters are the "Activity ≫ Invoice ≫ Transaction ≫ If has ANY transaction matching" group of conditions set to "ALL" and inside the group, the conditions are the "Transaction ≫ Time ≫ Date" options.
The agent condition is the same as used above.
These filters will return any activity with a booking agent that has received payments during the commission cycle specified.
Commissions Based on Accruals
If you calculate commissions based on accruals, then you will use these filters to determine which agents are due commissions during the current commission cycle.
The date filters for this report use the "Activity ≫ Start ≫ Date" option. This is because, in Arctic, the accrual date is the date an activity starts. Again the agent filter is the same as for both the "Sales" and "Payments" options shown above.
These filters will return any activity with a booking agent that started during the commission cycle specified.
Custom View:
Along with the filters shown above, we suggest using the following "Custom View" no matter which calculation method you use:
This column view will return the activity numbers, customer names, booking agent name, trip name and start date for the activities that meet the filter requirements you chose from above. With the "Booking Agent" placed in the third position from the top, Arctic will automatically sort the results by agent so you can easily glance through the results to see the names of the agents for whom you should run commission reports.
If you are running the filters on the "Browse Rentals" page, your column view should look like this:
Again, if the "Booking Agent" is placed in the third position from the top, Arctic will automatically sort the results by agent. These column views are only suggestions. You can use any columns that you wish for these reports.
In the next section, we will show how to create a billing statement for agents whom have the "Who Pays" set to agent and owe you payments during a specific date range.
