3. Running the Report

To access the new BLM report, go to the "Manage Reports" page and find the "BLM Cash Deposits" report under the "Other" tab.

The report can be run for an arbitrary date range, and will show all deposits that took place during the specified date range. Larger outfitters may not be able to run the report for a full year, given the amount of data that its needs to aggregate. If you run into problems running the report, trying breaking the date range into smaller chunks (quarters or months)

Columns

The report will list transactions, broken down into requisite accounts. You will find the following columns on the report:

  • Deposit date The date the transaction was deposited, based on the batch or deposit recorded (see the data entry section for more information about specifying deposit dates). If you do not batch manual transactions, transactions are assumed to be deposited individually.
  • Transaction date  The date that the transaction was run.
  • Invoice  The invoice the transaction was applied to (useful for cross referencing information).
  • Customer  The customer name on the invoice.
  • Type The transaction type (credit card, check, etc).
  • Location The location identifier specified for the trip (see the data entry section), or if none is specified, Arctic will use the trip name.
  • Account  The account the money was allocated towards.
  • Gross  The total cost of the related activity or charge excluding discounts (that is, the total cost with discounts added back in).
  • Discount  The total of any discounts that were applied to the related activity (see note below for clarification).
  • Amount  The amount allocated to the account listed.
  • Transaction total The total amount of the transaction (adding all individual allocations together).
  • Deposit total  The total of all transactions in the deposit.
  • Running total  A running total of all deposits added together.

Note that this report is more detailed than specified in the BLM requirements, as it shows an account breakdown. My inclination is that this is much more valuable than what they describe, as it helps identify deductions and other adjustments necessary.

That being said, if you would prefer a more literal match to their example, let me know and I can switch your report to a less detailed view that will only print one row per transaction, not showing the accounting breakdown.

Notes

  • Commissions when the booking agent pays are tracked in Arctic as discounts, but are excluded from the report's discounts column.
  • This goes for all reports in Arctic, but it is worth reiterating: before running the report for a date range, make sure that all data entry for that data range is complete (all payments received should be recorded, all deposits/batches should be recorded, etc).
