13.3. Canceling Reservations

Arctic Reservations makes it easy to cancel reservations, as well as assess cancellation fee's when necessary.



To cancel a reservation, go to the "View Reservation" page where you will see the "Cancel" button on the right hand side:





By clicking the "Cancel" button, Arctic will begin the cancelation process and offer you 3 or 4 options for assessing cancellation fee's.

  • No cancellation fee ($0.00)
  • Amount paid to date (Any payments received)
  • Total amount billed
  • Custom


By selecting "Custom" you can input your own cancellation fee amount. 




Once the "Submit" button is clicked, Arctic offer several options for you to choose from. You can return to the activity details which will take you back to the "View Reservation" page, email a cancellation confirmation, or view the invoice. 



Note: You will only be offered the "Email Cancellation Confirmation" option if you have set up an "Activity Cancellation" email template. If you have not set up an "Activity Cancellation" email template then you will not be offered the email cancellation option.  (To learn more about the setting up email templates, check out Email Templates Part 2: Creating New Email Templates.) The "Cancellation Confirmation" email only goes to the primary customer.

If a refund is due to the customer you will want to choose the "View Invoice" option so you can process the needed refund or issue a gift certificate. (You can learn more about refunds, in our support documentation, Refunds: Linked and Unlinked.)

If you choose to view the invoice, you will see that rather than removing the charges, Arctic provided the invoice with credits and any chosen cancellation fee leaving a trail of the activity for future reference:
