8.1. Cancelling Trips

To cancel trips, go to the "View Trip" page for the trip date that needs to be cancelled and click the "Cancel" button.

When you click the "Cancel" button, Arctic will take you to the "Cancel Trip" page. On the "Cancel Trip" page, you can choose to credit the trip charges for any guests with reservations on the trip or to leave the invoices as is.

Once you have selected whether to credit the trip charges for the reservations on the trip, click "Yes, Cancel the Trip" to finish cancelling the trip or click "No" to leave the trip in place.

When a trip is cancelled it will no longer appear on your default "Browse Trips" or "Calendar" pages. To see the trips that have been cancelled you will need to alter the filters on these pages to set the "Cancelled" condition to "True".

When a trip is cancelled that has existing reservations on it, the reservations are not marked as "Cancelled". However, if you selected to credit the trip charges, the guests' invoices will reflect the appropriate credits and/or overpaid balances.

The reason for this is that you, as the outfitter are the one cancelling the trip. Leaving the trip's reservation un-cancelled even if trip charges were credited will allow you to contact the effected guests and see if they would like to reschedule or if they would like to cancel since their chosen date is no longer available.

If the guest chooses to go with another trip, you will simply edit their reservation and select the new trip. If they decide to cancel, you can then cancel their reservation. For more information on cancelling reservations or editing them see the support documentation.
