35.5. E-commerce Order Processing
When an online order is placed, whether it be retail items or online gift certificates, you will be able to see these orders in a few different places throughout Arctic. On the Dashboard, the “Log” widget and “Orders” widget will show the recent orders. You can click on the order number to view them.
You can also view online orders on the “Browse Orders” page by clicking the “Retail” menu then “Online Orders”.
When you click on an order number, it will bring you to the “View Order” page where you can access the invoice, mark as processing, mark as shipped, email an order update, and add a tracking number.
If you click the "Mark as Shipped" or "+ Add Tracking Number" buttons, it will bring you to the "Add Tracking Number" page where you can choose the shipping service and, you guessed it, add a tracking number! In the Service field, if you select USPS, Fedex, USPS or DHL, you will just have a field to add a tracking number. Arctic will generate tracking links for these services automatically. If you select Other, you will also be able to add a tracking link in addition to a tracking number.
If you select Electronic Delivery, there are no additional fields as a tracking number is not applicable for electronically delivered orders.
When you click "Submit" to save the service and tracking information, Arctic will return you to the "View Order" page where the Status will then be changed to "shipped" and the Tracking Numbers field will be updated to show the information you entered for the order.
Note: It is possible to add multiple tracking numbers to an order. This is extremely helpful if the order must be split into multiple shipments. Or for orders with both items set for electronic delivery and items with a physically delivery method selected.
After marking an order as shipped or entered a tracking number for an order with multiple shipments, you can use the Email Order Update button on the "View Order" page to send an email with all of the necessary shipping information. The email template used is the "E-commerce Shipping Confirmation" template which populates the shipping information, like the shipping address and tracking number for physical deliveries as well as denoting items that were electronically delivered like online gift certificates. There are placeholders that can be used to fill in this information automatically. This template can be found by clicking "Templates" under the "Email" menu.
If you have configured the e-commerce shipping confirmation email template to include tracking information, a tracking link will be provided in along with the service and tracking number used for the order. Your guest can easily use these links to track their packages. Now all they have to do is wait for their delivery!
