15.6. Rental Details
After you successfully created your new rental, Arctic took you to the "Rental Details" page as shown here:
Notice the menu at the right of the screen.
The "Edit" button is where you can edit the rental, you can change the quantity and type of the rental items, the start date/time, duration, the "Bill To" details, any notes etc.
The "View Invoice" button takes you to the invoice for the rental and allows you to take payments or manually apply discounts. (For more information about editing invoices and processing payments see the Invoice Guide.)
The "Email Rental Details" button allows you to email your guest all of the details about their rental including the customer notes. If you have multiple templates assigned to the "Rental Details" email configuration you will be able to select the one you wish to use and Arctic will open an editor window with the appropriate template. (Note that this button will only appear once you create at least one rental email template.)
If your guest is not making any payments on their invoice and does not need any additional discounts or customizations for their invoice, you can use the "Email Invoice" button to email a copy of the "unedited" invoice to your guest. You will not be able to view the invoice to make sure it is correct when you email it from the "Rental Details" page. If you need to add anything to the invoice or just want to view it to verify it is correct prior to emailing it you will use the "View Invoice" button.
The "Cancel" button, will allow you to cancel the rental, freeing up the allocated inventory and crediting the charges.
The "Remove" button will allow you to delete the rental. This button is only shown to those users with "Super User" or "Administrator" permissions. It will fully delete any record of the rental and remove the invoice (if it is the last activity on the invoice).
The "Return" buttons will take you to the "Browse Rentals" page where you can browse all of the active rentals.
Also notice, the "Item List". Arctic shows the item types, the number of items and the pricing level of the items on the rental.
As you can see from the "Rental Details" page you can access several key features related to the rental, the invoice or the items.
If you need to access the rental in the future to make any changes to it you will go to the "Rental" menu and choose "Browse". This will bring up the "Browse Rentals" page where you will be able to scroll through the list of active rentals or search for your guest's name. You can also filter the "Browse Rentals" page to show only a certain type of rental, rentals that start on the same day etc. etc. The filter feature for the "Browse Rentals" page works the same as the filter feature on the "Calendar" and "Select Trip" pages.
