7.6. How to View Evaluation Responses

After your guests complete their evaluations you will be able to view evaluation responses several different ways. The first way will be to go to the "Settings" page under "Evaluations" and clicking the "Pencil" icon next to "Manage Evaluations". This will take you to the "Browse Evaluations" page. 

To view the responses for a specific evaluation, click the "Responses" button next to the form you wish to view as shown here:

This will take you to the "Browse Responses" page. This page will be specifically filtered to only show responses for the evaluation you selected. On this page, Arctic will list each response to the evaluation, the guest who completed the evaluation, their reservation number and the date and time they completed it. You can view each response listed by clicking the "Eye" icon as shown here:

You can also filter this page to see responses from a specific time or for a different evaluation by clicking either the "Filter" button or the "Quick Filter" button (the little "Down Arrow" next to the "Filter" button). For more information on using filters see the "Using the Filter Feature" section of the "Reports" chapter. 

You can also see evaluation responses for specific trip types, trips, rental items, and guides. If a trip has an Evaluation Form assigned to it, you will see an "Evaluation Respones" button on the "View Trip" page for that trip. You will also see an "Evaluation Responses" button on the "View Person" page for any guide scheduled on a trip that has an assigned Evaluation Form. If a rental item is contained in a business group that has been assigned an Evaluation Form in the "Rentals" section of the "Settings" page, an "Evaluation Responses" button will appear on the "View Rental Item" page.

To view evaluation responses for a specific trip type go to the "Trips" menu and choose "Types". On the "Browse Trip Types" page, click the "Wrench" menu and choose "Evaluation Responses". Again, this option will only appear for trip types that have an Evaluation Form assigned to them.

When the "Browse Responses" page loads, the results will be filtered based on where you clicked the "Evaluation Responses". If you clicked "Evaluation Responses" from a "View Item" page, the results will be filtered for evaluation responses pertaining to the rentals that include the item you were viewing, i.e. the Fern Valley Double Room. If you clicked "Evaluation Responses" from the "View Person" page of a particular guide, you will be shown all of the evaluation responses pertaining to trips where the guide was scheduled. (Note: Guides must be scheduled at the time the evaluation is completed in order for Arctic to associate the evaluation response with their records.) The same is true when the "Browse Responses" page is accessed from the "Wrench" menu of a particular trip type or from the "View Trip" page of a particular trip; the results will be filtered to show each response for that specific trip or trip type. This is great way to track how your specific trip types, trips, guides and rental items are doing based on customer feedback. 

Another way to track how well you are doing is to view the "Summary" page for your evaluations. As you gather evaluation responses from your guests, Arctic will start charting your performance based on the responses received to the various questions on your Evaluation Forms. Arctic gives you a summary of each of the fields on your evaluation when possible. Open ended fields are difficult to graph but can be done if you take the time to "code" the answers. For more information on coding open ended field responses see the next section of this chapter. 

To view the "Summary" for your evaluations, go to the "Browse Evaluations" page and click the "Summary" button as shown here:

On the "Summary" page, Arctic will graph the reponses you have received to each of the questions on the specific Evaluation Form you chose to see the summary of. The charts make it easy to track your performance when used with "Choice Fields" or "Rating Fields" as shown here:

Notice, at the top of the "Summary" page, Arctic will tell you how many responses the charts are based on as shown above.

Using all or part of the methods for browsing responses will help you stay on top of your guest feedback and allow you to find the areas where your operation shines and the areas where you need to improve.
